The following insurance companies do not allow direct billing for dietitian services:
Group Health, Group Source, Manion, & Pacific Blue Cross.
For these insurance providers, you will be provided with a payment receipt to submit for reimbursement.
Payment Authorization & Insurance Billing Policies
We offer direct billing whenever possible to help make accessing care easier and more convenient for our clients. While we are happy to assist with insurance billing, coverage and reimbursement policies vary between providers and plans. Clients are responsible for understanding their individual coverage and for any fees not paid by their insurance provider.
Please note that not all insurance companies allow predeterminations, although many will permit direct billing after an appointment has taken place.
Receipts are issued after your session has been completed (not at the time of payment).
First Appointment Booking Requirements
To secure your first appointment, one of the following is required at the time of booking:
-
Full prepayment of the appointment fee (credit card or e-transfer)
OR
-
Confirmed insurance predetermination with any estimated co-pay paid in advance
A valid credit card on file is required to book appointments — including appointments where insurance coverage or benefits have been confirmed. Confirmation of benefits alone does not reserve or guarantee an appointment time.

All service fees remain the responsibility of the client, including any amounts not covered, denied, delayed, or unpaid by insurance providers.

Cancellation & No-Show Policy
Appointments cancelled within 36 hours of the scheduled appointment time are subject to a cancellation fee equal to 50% of the service cost, charged to the credit card on file. Missed appointments (no-shows) are charged the full appointment fee. No refunds will be provided. Rescheduling is based on practitioner availability.
If you need support, please contact us at hello@nutritionbites.ca or reach out directly to your practitioner if you have access through our portal.
